Home / Guides / AI for every call
An AI phone host can answer every call the moment it rings, including while you are closed, and handle hours, menu questions, takeout orders with payment and order status on its own. Complaints, refunds, large catering deals and anything about a serious allergy should reach a person. Plan on about three months running the AI alongside your staff before it carries nearly all calls.
| Call type | AI on its own | Needs a person | How to route it |
|---|---|---|---|
| Hours, address, parking | Yes | No | AI answers from your posted details |
| Menu questions (spice, halal, what is in a dish) | Yes, from your menu notes | When the answer is not written down | AI says it will check; you type the answer once and it learns it |
| Serious food allergy | Reads your allergen notes | Yes, for confirmation | Flag to the manager; never guess |
| Takeout order | Yes, with a pay link | Rarely | Ticket prints only once paid |
| Where is my order? | Yes, by caller ID | If something went wrong | AI reads the order status |
| Catering enquiry | Takes date, headcount, dishes | To close and price special requests | Owner gets a summary and calls back |
| Complaint or refund | Listens and records | Yes | Owner alert with the call summary |
| Calls while closed | Yes | No | Answers honestly, takes the order for when you open if you allow it |
| Vendors, sales calls, job seekers | Takes a message | Sometimes | Message to the owner |
| The owner checking in | Yes | No | Owners can hear today's numbers or turn a dish off by voice |

No AI phone host knows your restaurant on day one. Treat the first three months as training, with your staff as the safety net.
Hours, parking, the dishes people ask about, halal and spice answers, catering minimums, delivery radius. This becomes the AI's script.
Send overflow and closed-hours calls to the AI first. Your staff keep the rest. Nothing gets worse, and you learn fast.
Read the transcripts. Every question it could not answer gets a written answer once, and it uses it from then on.
When the AI handles questions well, let it take orders. A pay link by text and a ticket that waits for payment keep it safe.
Move more calls to the AI as the review list shrinks. Owner alerts cover complaints and urgent problems.
Complaints, refunds, allergy confirmations and big catering deals stay with you. After about three months the AI carries nearly all of the rest.

of those calls became paid orders.
calls came outside posted opening hours. Every one was answered.
Our proof restaurant in Houston, from its own order and call records, October 2026. Not every call went smoothly: some callers hung up during the greeting and some names were misheard. That is the reason for the ramp below.

Answering calls that guests place to you is ordinary business. Calling guests back with an AI voice is different: in February 2024 the FCC confirmed that AI-generated voices count as "artificial" voices under the Telephone Consumer Protection Act. That means you need the right consent before an AI calls a guest, for example to follow up on a catering quote. Keep AI callbacks to people who asked for them, and keep a record.
Yes. An AI phone host can answer every call, give hours and menu answers, take takeout orders with a text pay link and check order status. Hard calls like complaints and refunds should go to a person.
Complaints, refunds, serious allergy questions, price negotiation on large catering, and anything the AI has not been taught yet.
Plan on about three months running alongside your staff. Each week you review calls and add answers. After that it handles nearly all routine calls.
Some vendors take the card on the call. Ours texts a secure pay link while the host stays on the line, and the kitchen ticket prints only once it is paid.
Only with the right consent. The FCC said in 2024 that AI voices count as artificial voices under the TCPA, so follow the same consent rules as any automated call.
Same-day reply. No vendor commissions, so we recommend whatever fits, including a tool that is not ours.
